Job Summary

Responsible for the overall operation of the school year Before & After School Programs and camps.

Program Planning:
•Develop and plan daily activities, theme days, and special events on a monthly basis
•Purchase and prepare supplies and equipment for staff to lead activities
•Review detailed weekly plans prepared by the Before/After School Coordinators
•Maintain a directional whiteboard used daily to alert parents on location of activities
•Review program procedures (rules, bathroom travel, reward systems, outdoor zones, etc.)
•Maintain participant and staff enrolment forms, medication forms, and epipens
•Create and print weekly attendance lists and sign-in/sign-out sheets for participants
•Assist staff with setup and takedown of special activities (paint displays, talent shows, etc.)
•Review facility room allocations available for use during program hours
•Photograph participants participating in program activities

Parental Liaison:
•Create monthly newsletters to inform parents of program updates and reminders
•Maintain an active email list of all Before and After School families
oSend parents email reminders for upcoming events (camps, swim days, specialty clubs, etc.), program closures due to holidays, snowdays, etc.
•Develop a Meet the Team poster for parents to familiarize themselves with program staff
•Regularly meet and greet parents on-site to discuss any program related concerns
•Receive absence notifications from parents and relay onto coordinators
•Respond to parental concerns and questions via email and/or phone

Marketing:
•Create and update flyers for upcoming PD Day, Winter Break, and March Break Camps
•Maintain email list of all camp families, and email upcoming flyers to previous camp families
•Obtain necessary school board approvals to promote camp programs in target schools
•Liase with school officials in order to promote camp programs to the community
•Develop a Before/After School Program marketing strategy for future years
•Give tours of the program to prospective parents

Staff Management:
•Create a staffing schedule and contact list for the Fall, Winter, and Spring terms of program
•Approve shift changes and assist with scheduling conflicts; work in ratio when necessary
•Chair 3 – 4 staff meetings and/or trainings throughout the year
•Review and maintain a log book with daily entries by program staff
•Collect and organize staff qualifications and make sure certifications are up to date
•Assist in the production of staff evaluations twice during the year
•Develop and maintain a staff recognition system to reward great effort during program
•Develop strategies to help staff improve program delivery skills and contribute activity ideas
•Regularly communicate expectations and program updates to staff via email
•Follow up and address staff concerns, be supportive and listen to their needs

Participant Relations:
•Regularly interact with participants and ensure they are comfortable with the program
•Listen to participant needs and address any concerns they express

PD Day, Winter Break, and March Break Camps:
•Develop camp flyers and market programs within the After School Program and to the external community
•Monitor camp registration numbers and advise the Program Coordinator accordingly
•Recruit staff to work during camps and produce staffing schedules
•Review camp activity plans prepared by the Coordinator to coordinate with room bookings
•Purchase supplies required for camp activities
•Produce a camp binder (includes forms, activity plans, staff schedules)
•Confirm lunch arrangements with staff and Program Coordinator and purchase all related supplies
•Prepare script and checklist for Coordinators to complete pre-camp phone calls
•Develop class lists, team lists, and swim groups with assistance from the Coordinator
•Greet families and attend sign-in/sign-out table before and after camp
•Monitor the flow of activities during camp, and respond to staff/participant concerns
•Photograph a group picture of camp participants
•Follow up and thank families via email for attending Huntley A3 program/camps; send over a thank you card
