2 14 Thu Dec, 2023 15:22 hiringsupervisor1 3 Qualifications / Qualités requises The Program Administrator, Arts is responsible for the design, development, execution, and evaluation of CASE arts programs. The Program Administrator, Arts is responsible for securing and allocating resource materials, program venues, volunteers, artists, and equipment. Manages partnerships, secures sponsorships and coordinates marketing materials and program promotion.
Tasks include: developing evaluation criteria and methodology, securing partnerships necessary to implement the programs, overseeing day-to-day functioning of program; adhering to program timelines; ensuring adequate promotional material for participants and the public; liaising with internal and external stakeholders; securing sponsorships.
The Artist Studio Program (ASP), Community Galleries (CG) and Community Exhibition Spaces (CES) unit is seeking a new member to our team to provide administrative and gallery assistance for visual arts and studio programming and operations.
Program Administrator, Arts (12C) : responsible for a diverse combination of tasks related to the operations of the ASP, CG and CES programs, galleries and rentals including:
× responsibility for tracking, and distribution of client information and program scheduling
× responsibility for overseeing health and safety procedures
× organization of Calls to Artists and peer accessed selection committees for the Artist Studios Program, Community Galleries and Community Exhibition Spaces.
× assistance with the organisation of events such as ASP Annual Open House
× contribution to program data entry and editing
× a variety of facility, studio, gallery-related tasks
× a variety of administrative tasks related to programming, operations, and client service
× client service duties as required

Education:
College, or university student enrolled and /or practicing in of the following disciplines: theatre, dance, music, visual, literary, media arts.

Experience:
- Minimum 2 years practicing and/or teaching experience in related discipline, and have the
technical skills and training required to safely use specialized equipment.
- Completion of health and safety training required by legislation and by the Corporation of the
City of Ottawa.

Certificate & Licenses:
- Standard First Aid, Current Automated External Defibrillator (A.E.D.) Operator Certificate.
- AODA Customer Service

Knowledge:
- Excellent knowledge of local arts community an asset
- Program design, development and evaluation
- Project management practices
- Performs work in accordance with the provisions of the Occupational Health and Safety Act
and Regulations and all City of Ottawa corporate/departmental policies and procedures
related to Occupational Health and Safety.

Competencies/Skills & Abilities:
- Very good oral, written and interpersonal communication skills
- Strong knowledge and experience using program specific tools and equipment, including Microsoft 365 (Sharepointe, OneDrive, Outlook, Excel, Word, PowerPoint), ActiveNET, Soundcloud, Canva and Instagram
- Customer service skills to work with diverse groups

Personal Suitability:
- Demonstrates leadership, initiative, and creativity
- Organized, efficient and productive
- Flexibility and ability to manage diverse tasks and work in a changing work environment
- Ability to work independently and as part of a team

CASE:

The Program Administrator, Arts is responsible for:
• Design, development, execution, and evaluation of CASE arts programs.
• Day-to-day program support including:
o Developing evaluation criteria and methodology
o Maintaining partnerships and securing sponsorships
o Ensuring adequate promotional material for participants and the public
o Conducting outreach and liaising with internal and external
stakeholders
o Organizing submission materials for selection committees
o Securing selection committee members
o Overseeing the in-take of artwork, installation of an exhibition and
return of artwork
o Completing artist agreements and assisting with payments
o Maintaining and archiving files
• Administration and customer service including:
o Monitoring program email and Instagram account and responding to
artist and public inquiries.
o Using administration tools including Microsoft 365 SharePoint,
OneDrive, Outlook, Excel, Word, PowerPoint), Soundcloud, Canva and
Instagram
o Adhering to program timelines
CG:

Health and Safety Act and Regulations and all City of Ottawa
corporate/departmental policies and procedures
related to Occupational Health and Safety.
